Paying a deposit does not CONFIRM your position at an event; applications are assessed and positions offered after a deposit has been paid and received.

Part or all of your deposit may be withheld if you:

  1. Do not complete any shift allocated to you;
  2. Lose any uniform and/or equipment allocated to you;
  3. Miss your onsite briefing/s;
  4. Do not arrive at the event and/or do not CANCEL at least 30 days prior to your expected arrival date at the event **.
  5. Breach our Terms & Conditions;
  6. Breach our Code of Conduct.

**Exceptions are made for extenuating circumstances such as illness where a written statement from a doctor can be provided; in such cases you must still CANCEL prior to your arrival date, as early as you can.

You must either CONFIRM or CANCEL each position offered at least 30 calendar days prior to your expected arrival date at the event. If you neither CONFIRM nor CANCEL at least 30 calendar days prior to your expected arrival date at the event we will take this as an oversight on your part and you will be treated as a CONFIRMED applicant.

Example a) if you neither CONFIRM nor CANCEL your place up to 30 calendar days prior to your expected arrival date at the event; then CANCEL within 30 calendar days prior to your expected arrival date at the event; your deposit will be withheld and you will be blacklisted from future events.

Example b) if you neither CONFIRM nor CANCELyour place and do not arrive on site on your expected arrival date at the event your deposit will be withheld and you will be blacklisted from future events.

Example c) if you apply to work at an event where the event  is less than 30 days away then either CANCEL or neither CONFIRM nor CANCEL and do not arrive on your expected arrival date; your deposit will be withheld and you will be blacklisted from future events.

Deposits are paid and refunded via Paypal, unless otherwise agreed with us and confirmed in writing.  Deposits are returned as soon as possible after your last confirmed event has finished.

If you pay a deposit and CANCEL all, some or one event at least 30 calendar days prior to your expected arrival date at the event your deposit will be returned as soon after your cancellation is received as possible.  Cancellation of all confirmed places, if you have been confirmed for more than 1 event, will result in an administration fee of £10.00 GBP.

If you apply to work at more than one event; complete your shifts at one or more events; then CANCEL your position at any or all future events at least 30 calendar days prior to your expected arrival date at the next event; your deposit will be returned in October.

If you apply to work at more than one event; complete your shifts at one or more events; then CANCEL your position at any or all future events less than 30 calendar days prior to your expected arrival date at the next event; we will return a percentage of your deposit. This percentage will be calculated using the ratio EVENTS COMPLETED:EVENTS CANCELLED.

E.g. if you apply to work at two events, complete your shifts at the first event, then CANCEL the second event less than 30 calendar days prior to your expected arrival date at the next event, 50% of your deposit will be returned as soon as possible.

If you apply to work at more than one event and do not arrive on site on your expected arrival date for the first event and do not CANCEL at least 30 calendar days prior to your expected arrival date; your deposit will be withheld and you will be blacklisted from future events, this includes being removed from the confirmed list of volunteers for any future events you have been confirmed at.

All deposits are £75 and this deposit will cover any events you are confirmed for.  Once you have made an application, we will email you with information on how to pay your deposit and this must be done as soon as possible after you have received this email.  Your place will NOT be confirmed until this deposit has been received, so your place is at risk if you do not pay this deposit promptly.

Deposit returns on payments made via paypal will be subject to a £2.75 deduction for transaction fees.  Therefore if you are eligible for a full deposit refund, the amount refunded will be £72.25.  Deposit returns on payments made via BACS will not be subject to a transaction deduction.

This deposit introduction is something that we have tried our best to avoid since this whole adventure started, and unfortunately a growing number of people have now spoilt it for everyone.  Deposits required will not apply to certain volunteers who fit our “Opt Out” criteria (this criteria will be posted on the website shortly).  You will be informed of your deposit requirements when we email you after your application has been received.
